How to respond to emails professionally
All email account owners know the feeling….. Skimming through their email inbox trying to decide, open or not open. It’s a problem we as a consumer face. However, as a marketer, our goal isn’t just getting the consumer to open the email, but for them to respond to the email that was sent to them. Timing, context and content.
Let’s start by going over the top tips for actually getting your emails opened and converting those impressions into acquisitions:
- Subject line
- Opening line
- Body copy
- Closings copy
- Signature
We need to remember, attention spans are short! You need to speak to their interest with a concise subject line – without sounding like a salesman.
Some examples:
- Mutual friend recommend I get in touch.
- Ideas for [thing that’s important to them
- I read your blog post, tweet, LinkedIn comment] about experiencing [X].”
- Personalized touch first name quick question for you.
- Have you considered thought / recommendation?
2. Opening line
Don’t begin with Hi my name is……try talking about them or their needs/wants, not a service or product
- I noticed you …
- Mutual connection mentioned …
- Saw that we both …
- I loved your post on …
- Congratulations on …
- I noticed your company recently …
3. Body copy
Respond to email professionally, The body of your email should always covey value. Avoid spam by sounding like your trying to self promote. Let’s think about what our perspective clients goals are. Try starting with a open ended question.
4. A great closing
will lead prospective clients down a clear path to action.
To help promote a definitive response, consider adding another question such as:
Let me know if I should take the next steps if any asap.
Let me know if [business goal] is a priority for you now, or perhaps sometime in the future.
Are you available for a 30 minute call on [date and time]?
Have you given any additional thought to the proposal?
5. Email signatures,
Keep it short. Use plain black and white text or subtle colors that align with the company’s branding. Add your phone number and social accounts.
